Operator and payment relationship
WoowMind is operated by Youcheng Zhang as an individual under the WoowMind brand. The operator is based in GuangZhou,China and currently has no Hong Kong office.
For Paddle Checkout transactions, Paddle acts as reseller and merchant of record; Paddle's buyer terms govern the purchase transaction, while WoowMind provides and licenses access to the product under these terms.

1. The product
WoowMind is a private knowledge-base workspace for uploading, indexing, previewing, versioning, searching, and asking questions about documents.
If your selected plan includes website Widgets, you may embed the Q&A assistant on your website. The available number of Widgets, message quotas and feature limits are as shown in the plan description and your account page.
2. Account and registration
You must provide accurate registration information and protect your credentials. Google sign-in does not silently create an account: a new user must complete the registration flow and accept the Personal Information Collection Statement (PICS).
3. Trial, plans, and quotas
Eligible first-time registrants may receive one trial subscription, currently 14 consecutive days from successful registration, with 10 documents, 1 knowledge base, and 100 messages. The same verified sign-in identity can receive a trial only once. Deleting an account and registering again with that identity does not grant another trial or reset the trial period. After account deletion, any unused portion of the trial period will not be retained, restored, or transferred. Linking another sign-in method to an existing account does not reset or extend its original trial. We verify the identity using the sign-in provider and its stable identity identifier, rather than relying solely on an email address, username, or whether an account currently exists.
To enforce this eligibility rule, we retain a minimal trial-eligibility record after account deletion, as described in the Personal Information Collection Statement and Privacy Policy. Users who have already received a trial can still register again, sign in, manage or delete data, close their account, and purchase a plan. Features restricted by the subscription term require a valid subscription.
There is no permanent free plan. Paid plan names, prices, quotas, enabled features, payment channels, and renewal terms are those shown by the signed-in workspace catalog and checkout.
4. Billing, cancellation, and refunds
The website does not process payment. Paid plans currently use Paddle only; purchases and subscription management are completed in the knowledge-base account page.
WoowMind provides one 14-day free trial to first-time registrants eligible under section 3 so they can assess the core features before subscribing. Once a paid subscription begins, fees for the current billing period are generally non-refundable, subject to the exceptions, Paddle rules, and mandatory rights described in the Refund Policy. Cancellation stops the next renewal rather than refunding the current period.
5. Your content and AI output
You retain rights in your content and grant only the permission needed to store, index, retrieve, preview, and answer requests. AI output may be wrong and is not professional advice. Verify important answers against cited source passages.
6. Sensitive data and previews
The product is designed to de-identify sensitive content before external model and embedding requests. Local mappings may be used to present permitted answers and citations. Original high-risk data in document previews is masked by default and requires re-authentication and authorization to reveal.
7. Suspension and deletion
When a trial or paid period ends, features requiring an active subscription, including document uploads, conversational Q&A, search, and public Widgets, are suspended. You can still sign in, manage or delete data, close the account, and purchase a plan. Data and settings are retained until deletion; renewal restores the applicable features. Account deletion clears service primary data, while the minimal trial-eligibility record is retained separately for the purposes and under the conditions described in the Personal Information Collection Statement and Privacy Policy. Other limited payment, security, audit, backup, and compliance records are handled under applicable law and the retention rules in those documents.

9. Processing and locations
For AI features, query rewriting, embeddings and answer inference take place in Hong Kong; hosted reranking, when enabled, sends queries and necessary candidate passages to Beijing in mainland China. For merchant processing of visitor data through Widgets, the Data Processing Addendum forms part of these terms. Locations and providers are described in the Service Provider List. Merchants must give visitors accurate notices and obtain any legally required consent.
